Pasta Party and Divisionals Meet Information

Dear Devil Rays,

We are looking forward to wrapping up the regular season with our Pasta Party tonight and Divisionals tomorrow morning. It is a busy week for us! Please see below for details about tonight and tomorrow. Make sure to read the details for Divisionals closely as this meet differs slightly from our regular season meets.

A quick note regarding the weather and the air quality: we are actively monitoring the situation and coordinating with both the other teams we are hosting and the league. As of now, we are planning to continue on as scheduled for tomorrow’s meet. Please keep an eye on your email, our team website, and our Facebook page. Any changes will be announced in those places. For now, plan on the meet going as scheduled.

PASTA DINNER - TONIGHT, 5:30 to 7:30 PM

Please join us tonight at the pasta party! Swimmers eat for free. Non-swimmers (e.g., parents and siblings) are $5/person, payable via Venmo (@dullesfarms) or with cash at the door. Dinner will be served inside the Clubhouse, but bring chairs or a picnic blanket to eat outside.

We will also be recognizing our wonderful coaches, junior coaches, record breakers, and All Star qualifiers at 6:00 PM.

We will be hosting the Division 7 Swim Meet tomorrow morning. We have nearly 300 swimmers participating from the following teams:

  • Rivercrest

Meet Theme: Devil Rays Spirit!

10:00 AM to 10:20 AM: Break between first and second half events. Second half swimmers will warm up. Second half volunteers will meet and get ready for their shifts.

Address: The pool is located at 25930 Lennox Hale Drive, Aldie, VA.

Parking:
**There will be VERY limited parking in the Dulles Farms Clubhouse parking lot.**

Our parking marshals will close off the parking lot when it is full. Please respect reserved spaces.

Handicap parking is located in front of the clubhouse. Please note once the parking lot is full, this means the handicap parking spaces will also be inaccessible.

We are asking everyone to enter the Virginia Manor neighborhood from Gum Spring Road, near Buffalo Trail Elementary (see map below) so that we can have a safe and efficient swimmer drop off area.

The drop-off area is located on Lennox Hale Drive. You MUST drop your swimmer off on the side of the road closest to the parking lot, where they will exit the passenger side of the car. Swimmers will not be allowed to cross the road. Following the directions above will allow for a safe drop-off. Please be prepared to execute an efficient drop-off and clear your vehicle from this area as quickly as possible.

Also, as part of the effort to minimize traffic on Lennox Hale, we recommend carpooling for drop-offs. Please allow yourself extra time to drop-off and park.

Concessions: Our concessions will be in a different place for this meet - at the top of the parking lot near the entrance. We will run full concessions service with CFA sandwiches, Anita’s burritos, drinks, fruit, and snacks. We accept cash and Venmo (@dullesfarms).

Team Area: The team area will be in the parking lot according to the diagram below. These areas are for swimmers and their families. Families may report to the deck to watch their swimmer(s), but then must leave the pool deck immediately after the completion of the race.

Make sure you clean up after yourself before leaving the meet!

Spectator Area: There is standing room only viewing on the pool deck. Unlike regular meets, no chairs are permitted on the pool deck for Divisionals. Spectators should time their arrival on the pool deck to align with their swimmer’s approximate swim time. The pool deck entrance is on the side of the pool nearest the playground. Follow signs for the spectator viewing area. Upon completion of your child’s swim, please exit the pool deck back towards the team area in a timely manner.

Restricted Areas: Spectators are only allowed in the designated viewing area. Swimmers must avoid roped or taped-off areas on deck. The Clubhouse is off limits to everyone except Computer Operators, Ribbons, and Team Representatives. All swimmers and spectators must use the bathrooms on the pool deck (i.e., not the upstairs bathrooms in the Clubhouse).

Swimmer Reminders:

  • Heat sheets are available on the website https://dullesfarms.swimtopia.com/.
  • Swimmers must stay in the team area between their events.
  • Swimmers must check out with the Clerk of Course prior to leaving to confirm they are done swimming.

What should swimmers bring?

All swimmers should wear their team suit and a swim cap (Devil Rays or a solid color are acceptable). Make sure you bring your goggles, towels, water bottle, and snack.

Volunteers

ALL volunteers need to arrive by 7:00 am unless you have an earlier shift. Check in with the volunteer manager, Tiffany Forester, upon arrival. (Tiffany will be in the team area.) IF YOU DO NOT CHECK IN WITH THE VOLUNTEER MANAGER UPON ARRIVAL AND COMPLETE YOUR ROLE, YOU WILL NOT GET CREDIT FOR YOUR POINTS!

Tent Taxi volunteers have received additional instructions for these roles already.

Officials: We will hold an official’s briefing at 7:30 AM at the far side of the pool.

Timers: We will hold a timer’s briefing at 7:40 AM at the far side of the pool to review timing procedures, assignments, and watch operations.

Clerks: We will hold a clerk's briefing at 7:30 AM under the tent on the far side of the pool.

Second half volunteers: Please report to the pool deck by 10:00 AM for briefings.

Thank you for reading all of this information. We look forward to a fun and successful meet tomorrow. Go Devil Rays!
