Note that serving as a Committee Chair may count towards your volunteer points requirement for the season.
New for the 2026 season! This position will help the Computer Operator research and possibly set up a digital timing system (e.g., Time Drops).
Other responsibilities may include:
- Helping the Computer Operator transfer meet data to the timing software
- Running timing software during meets
Please note that this position requires the Chair to be present at all home meets.
Responsible for the concession stand during time trials and home meets. This includes:
- Purchase items
- Coordinate food pickup from vendors (e.g., Chick-fil-A, Anita's)
- Price concession items
- Set up concessions
- Oversee concession stand sales and food pick-up volunteers
- Sell concessions during time trials and home meets
Responsible for overseeing the equipment stored off-site. This includes:
- Coordinate with the Board on which equipment is needed for home vs away meets
- Coordinate with the tent taxi volunteers to pick-up the equipment from the off-site storage prior to the meets (typically Tuesday evening for Wednesday meets and Friday evening for Saturday meets)
- Coordinate with the tent taxi volunteers to drop-off the equipment at the off-site storage (typically Thursday for Wednesday meets and Saturday afternoon for Saturday meets)
Responsible for coordinating social events before and during the swim season. This includes:
- Support the Board with planning the pre-season ice cream kickoff party and pre-season pool party
- Coordinate the pre-Divisional meet pasta party dinner
- Support the Board with the end of season party
- Organize other social events for the team
- Coordinate with the Volunteer Chair for any volunteer needs at the events
Responsible for the oversight of setting up and cleaning up for home swim meets. This includes:
- Coordinate with the Board on the pool layout for the home meets
- Oversee the Friday night and Saturday morning set-up volunteers
- Oversee the Saturday post-meet clean-up volunteers
Responsible for organizing fundraising activities before and during the season. This includes:
- Coordinate with the Board on fundraisers
- Arrange fundraising activities and events (e.g., Bruester's, Double Good popcorn, Foster's)
- Coordinate with the Volunteer Chair for volunteers needed to support fundraising
Responsible for the oversight of the junior coaches. This includes:
- Support coaches with application and selection process of junior coaches
- Support the coaches with training of junior coaches
- Organize junior coach sign up for daily practices
- Determine and oversee junior coaching roles during swim meets
- Maintain records of volunteer hours for junior coaches
Responsible for ensuring the team has trained officials for all swim meets. This includes:
- Ensuring returning officials have current certifications
- Providing training information to officials to maintain certifications
- Coordinate shadowing opportunities for new officials to learn
- Schedule officials for all swim meets
Responsible for coordinating pep rallies before home swim meets. This includes:
- Coordinate with the Coaches on themes for each of the swim meets
- Develop activities for pep rallies prior to home meets
- Decorate the pool for home meets to coordinate with the themes
- Coordinate with the Volunteer Chair for any volunteer needs at the pep rallies
Responsible for organizing sponsors for the swim team prior to the season. This includes:
- Coordinate with Board on sponsors
- Update and draft sponsorship letter
- Contact past and potential companies about sponsorship
- Collect and deliver all sponsorships to the Treasurer
- Collect and provide the Board with sponsorship logos for the website and swimmer shirt
- Write thank you letters to all sponsors
Responsible for overseeing all volunteer positions are filled during activities through the swim season. This includes:
- Update previous year’s points allocations to propose annual family point requirements for Board approval
- Coordinate with the Computer Operator/Website Chair for any updates to the point requirements on the website
- Ensure volunteer positions are filled for all activities in advance
- Check in volunteers at each activity and provide lanyards
- Track family points throughout the season
Responsible for recognizing swimmer achievements throughout the season. This includes:
- Coordinate with Coaches to identify swimmers of the week, obtain pictures of the swimmers, and post on Facebook
- Create and distribute goodie bags for Mini Rays swimming in their first meet
- Coordinate with the Computer Operator/Website Chair to identify broken team records and post updates on Facebook
- Develop activities to recognize senior swimmers throughout the season
- Organize and coordinate with Coaches for All Star week activities (e.g., daily goodie bags, breakfast)
- Organize All Star yard signs and t-shirts
- Coordinate with Board for end of season medals/trophies
- Coordinate with the Volunteer Chair for any volunteer needs during activities
